Tesla Accessory Samples: An Acceptance and First-Order Checklist

Give each sample a clear question and a recorded result. Includes an acceptance worksheet, issue report and purchase-order handoff for a first trade order.

A sample is useful when it answers the questions that would otherwise follow you into a larger order. Does the received variant match the quote? Can your team explain the contents? Does it suit the vehicle configuration you plan to serve? What still needs to be confirmed before customers can buy it?

Agree those questions before the sample ships. Keep the review small enough to complete properly, and separate the product result from the terms of the eventual trade order. An attractive sample is a reason to investigate further; it is not an instruction to fill a shelf.

Agree what you are receiving and paying for

Record the sample SKU, variant, quantity and delivery destination. Ask the supplier to confirm the sample charge, freight and any conditions in writing. If a later order may receive a credit, record the amount, eligibility and time limits rather than assuming a sample will be free or deductible.

Choose the target vehicle configuration and the questions your team needs answered. For a trunk insert, that might be the recess shape and lid access alongside ordinary cargo. For a finish piece, it may be appearance, edge alignment and the supplied installation method. Do not choose a sample only because it is the cheapest option in the family.

Make the fitting review specific to the product

Read the accessory instructions and the applicable vehicle guidance first. Where appropriate, inspect positioning before a permanent attachment. Record the vehicle generation, relevant configuration and sample revision, then photograph the areas your team is reviewing. Do not peel adhesive or alter the part merely to make an uncertain sample fit.

For storage, look at access to the original compartments and controls. For a removable cover, check the relevant moving parts and whether the owner can remove it as instructed. Use your own observed fitting time for labour planning. Do not reuse another shop's estimate as a commitment to your customer.

Check whether your team can sell and support it

Ask a colleague who did not choose the sample to explain it using the supplied information. They should be able to describe the intended vehicle, included items, use and limits. If the answer relies on a private message, add the missing detail to the shared product record.

Consider the setting in which the customer will use it. A parent retrieving small items from a console or a driver packing groceries may need a simple demonstration more than a long list of adjectives. Record questions that arise during the demonstration and resolve them before writing a customer listing.

Write the acceptance conditions before opening the box

A useful sample review begins with the decision you want it to support. For a console set, that might be identifying the piece locations and checking normal access on the refreshed Model Y option. For a trunk-bin set, it might be the recess shape and the removal path with the lid in place. Write the product link, exact selected option, intended vehicle and the requested documents before the sample arrives.

Keep a blank result beside each condition. This reduces the temptation to rewrite the goal after seeing a good-looking product. If a promised instruction sheet or component is missing, mark that condition unresolved even if the finish looks good. An attractive sample is one input; your team also needs to receive, explain, fit and support the product repeatedly.

A receiving routine that preserves the evidence

  1. Identify: photograph the package label and link it to the quote or sample request before separating packaging from the item.
  2. Count: compare components with the selected option and an explicit contents list. Keep optional parts separate from included parts.
  3. Inspect: record visible marks, deformation, missing attachments or mismatched labels before attempting a fit.
  4. Prepare: read the accessory and relevant vehicle instructions. Confirm that the person doing the check has the appropriate tools and competence.
  5. Record: keep the before view, fitted view, access observations and unresolved questions together with the sample identity.

For a removable storage product, check with the everyday items the customer is likely to use. A cable, tissues or compact grocery bag can reveal an access problem that an empty product photo misses. Keep the exercise stationary and relevant to normal use. Do not invent load tests or claim long-term durability from an afternoon inspection.

Accept, hold or reject: three useful outcomes

Accept for the recorded application: the agreed identity, contents and practical checks are resolved, and the team knows how to explain the sample. List the vehicle configuration and observations in the acceptance note. Acceptance belongs to that record, not to every option on the product page.

Hold for information or recheck: a document, label, contents detail or fitting question remains open. Name the missing item and the person following it up. A hold is often the right result when the sample itself looks suitable but the team cannot yet create an accurate listing.

Reject for the proposed use: the sample is the wrong variant, damaged, incomplete or unsuitable under the agreed checks. Record the reason and discuss the remedy under the sample terms. Keep it out of a customer demonstration until the issue is resolved; a replacement or revised item should have its own traceable recheck.

An issue report the supplier can act on

Send the sample reference, product and option, vehicle configuration, what you expected, what you observed and the images that show the difference. Ask a concrete question, such as “Is this the correct lid for the refreshed Model Y hard-lid option?” rather than sending an unlabelled close-up and saying it does not fit. Keep the original packaging and relevant components available while agreeing the next step.

Turn acceptance into a precise first order

Prepare an order line for each exact variant with its supplier identifier, readable option name, quantity, agreed contents and sample-record reference. Link the current quote, delivery destination, freight scope, currency, price basis and the agreed handling of shortages, damage and fitment issues. Ask whether the production or stock item will match the accepted sample revision.

Keep the sample price, public retail price and trade quote separate. A successful sample delivery does not confirm a larger order's stock, dispatch date or freight. Obtain a current written order confirmation that reflects the exact variant list. Assign someone at your shop to compare the incoming goods with the accepted record.

Check the first shipment for repeatability

Count and identify the received variants, compare their labels and contents with the agreed record, and note any packaging or component changes. If you plan to inspect a subset, agree the inspection method before shipment and keep its limits clear. This article does not prescribe a statistical sampling standard, acceptance quality limit or certification test.

Retain an accepted reference sample or its clear record where practical. Track customer questions, returns and fitting observations by variant during the first sales period. A later issue should lead back to the correct stock and sample revision. Reordering then becomes a decision informed by the shop's experience rather than a repeat of the original assumption.

Questions about accessory samples

Are samples free or credited against an order?

Sample availability and pricing depend on the enquiry. A quote may offer or decline a sample or a later credit; neither is a standing benefit promised here. Confirm the sample cost, freight, any credit conditions and the applicable issue process in writing before accepting. Keep those terms with the sample record, and treat the larger trade order as a separate decision with its own current quote.

Send your shop and market, product link, selected variant, target vehicle configuration and the questions you want to resolve. Include a mounting-area photo when shape affects the choice.

Does a sample inspection prove the whole order will be identical?

No. It records the sample you examined under the stated conditions. Ask how the supplied stock matches that revision, then use receiving controls for the actual shipment. Keep labels, contents and any changes traceable. A first order can be accepted under agreed terms while still needing checks when it arrives; one sample is not a substitute for a documented shipment inspection process.

Can I fit a sample before resolving the instructions?

Resolve the instructions and any question that affects the procedure before attempting the fit. A no-drill description or removable appearance does not provide every required step. For work involving wiring, load-bearing equipment, displays or sensors, use the relevant documentation and qualified assistance. A hold for instructions is a useful review outcome; it avoids turning an unresolved sample into an improvised installation.

What should stay in the acceptance folder?

Keep the sample request, selected variant, quote or sample terms, package label, component list, instructions used, vehicle configuration, photos, observations, final status and any supplier resolution. Add the first-order reference once an order is placed. A colleague should be able to understand what was accepted and why without relying on your memory or a private conversation.
