Tesla Accessory Line Sheets: SKU, Fitment and Quote Fields

Turn a supplier catalogue into records your buying, receiving and listing teams can use. Includes a variant-row template and a worked trunk-bin example.

A retailer often passes the same product through several hands. A buyer selects it, an operations colleague receives it, and a content editor writes the listing. A useful line sheet lets all of them recognize the same variant without guessing which picture or model name belongs to it.

Before you compare prices, check that the supplier's document identifies what you would actually order. A product family name is helpful for browsing. It is rarely enough to receive stock or create an accurate listing.

Give every sellable variant its own record

Request a unique SKU for each variant, together with the supplier's product and variant identifiers where available. Keep the readable variant name alongside the code. Your own store may use a different SKU; maintain a mapping so a reorder reaches the same part.

For example, the Model 3 and Model Y options of a trunk storage family need separate records, as do its lid options. The family image should not silently become the image for every variant. If two entries share a code, ask whether they are genuinely identical or whether the sheet needs correction.

Describe fitment as an order condition

Ask for model, generation, mounting area and any configuration that changes the part. Include exclusions next to the supported vehicle group, not in a separate email that your listing team may never see. A calendar year on its own can miss a change in body or interior configuration.

Use the Model 3 Highland guide and Model Y generation guide to frame the questions. For a specific product, request the relevant evidence and keep unconfirmed configurations visibly unresolved in your working record.

Keep package contents separate from product descriptions

A phrase such as “four-piece set” needs a contents breakdown. It could refer to bins and lids rather than four bins. Request an unpacked photograph labelled with each included component, and ask whether clips, adhesive or other installation items are supplied. Distinguish optional parts from the contents of the selected variant.

Record product dimensions separately from packed dimensions. The former helps assess the application; the latter helps plan receiving and storage. Ask how dimensions were measured and whether they apply to a single component, the complete set or the shipping carton. Avoid turning an approximate measurement into a precise claim in your customer listing.

Ask for the images and instructions you can actually use

Request a main product image, a contents image and relevant fitting photographs for each variant. Ask which assets you may use on your website and sales channels, and whether editing or adding your own branding is permitted. An image being publicly visible does not establish your permission to reuse it.

Keep fitting instructions as a dated link or document. If a photograph shows a particular vehicle, record that configuration. Do not turn one pictured installation into a claim covering all vehicles in the family. Write alt text that describes the product shown rather than filling it with model names the picture cannot establish.

The minimum variant row to request

Use this field list as the starting point for a spreadsheet. Separate fields are easier to filter and review than a single long description. Keep the supplier's exact wording in one source column and your customer-facing wording in another. This allows a colleague to check why a claim was written without searching old messages.

Add a status to fields that still need an answer: confirmed, awaiting supplier, awaiting sample, or not applicable. An empty cell is ambiguous because it could mean missing information or a deliberate exclusion. Keep the owner and next action beside the status. For example, “packed weight: awaiting supplier; buyer to request by next quote revision” creates a useful follow-up without turning a guess into a shipping estimate.

Worked example: one family, four distinct order lines

All four options belong to one browsing page, but each should have a separate row in your purchasing record. The table uses actual option wording reviewed on October 7, 2026. Supplier SKUs and variant identifiers should be obtained from the supplier; the labels below are readable option names, not invented stock codes.

The listing describes TPE bins and a four-piece configuration. Request a labelled component breakdown rather than publishing “four bins.” If the supplier confirms two bins plus two lids for the ordered option, use that exact breakdown in receiving and customer copy. Keep packed dimensions and shipping weight unresolved until provided; a photographed bin is not a measurement.

Three handoffs that expose a weak line sheet

Receiving: give the colleague the variant row and a labelled package, then ask whether they can select the right shelf location and count the contents without opening a chat history. If they need to interpret a family photo, improve the label-to-row mapping.

Listing: ask the editor to produce a short fitment paragraph, an included-pieces list and an image set from that record alone. The editor should know which claims are confirmed, which are source descriptions and which should remain unpublished. Keep a material such as TPE in the material field; a finish such as carbon look belongs in a different field.

Support: ask someone to answer “Will this fit my earlier Model Y?” and “Are both lid styles included?” The record should support a direct answer or identify the precise information to request. If the answer changes depending on who remembers the supplier call, the sheet still needs work.

Use a quote tab that cannot be mistaken for the catalogue

Link a separate quote tab to the variant identity. Include quote reference, date, validity, currency, quantity, unit or set basis, unit price, freight, other stated charges, proposed dispatch conditions, payment terms and issue handling. Keep public retail prices as a clearly labelled reference when helpful. They are not trade prices, and a retail sale badge is not evidence of the commercial terms offered to your shop.

When two quotes differ, compare the same variant, quantity basis and delivery scope. A cheaper number may refer to one component rather than a set, a different lid style, or a quote without freight. Write the commercial difference beside the number rather than asking the team to remember it. Obtain current confirmation before accepting an order; a line sheet is not a promise that every option is in stock.

A revision log that protects your listings

Record the previous and new field, the reason for the change, who confirmed it, and whether existing stock is affected. A revised photo may only improve presentation; a revised mounting detail may change which vehicles the part supports. Treat those changes differently. Keep the earlier accepted sample and listing version traceable rather than silently replacing the record.

  1. Identify the supplier revision and affected variant rows.
  2. Ask whether the change applies to existing units, future batches or only the document.
  3. Update receiving labels, customer listings and support notes where applicable.
  4. Retain the original quote and acceptance record so an issue can be discussed against the correct version.

Questions about supplier line sheets

Is a catalogue PDF enough?

A PDF can explain the range. For receiving, imports and reorders, also request structured variant records you can map to your own SKUs.

Should the line sheet include installation time?

Only include a supported estimate with its conditions. Your own labour planning should use your team's experience with the specific vehicle and instructions.

Can I copy the supplier's description?

Confirm permission first, then review the claims against the actual variant and evidence. Permission to use copy does not make every claim suitable for your listing.

What if one fitment field is missing?

Ask for it before activating that variant. You can keep the record in your working catalogue while withholding the unresolved option from customer purchase.

What if the supplier has no structured spreadsheet?

Start with one variant and request the missing fields in a simple table. A PDF can be retained as the source catalogue while your team creates a controlled variant record. Keep supplier-confirmed facts separate from your own notes, and do not assign a made-up supplier SKU. If a field affects fitment, receiving or pricing, resolve it before using the record for an order or live customer listing.

Can two colour variants share the same customer photo?

They may share a location or context photograph, but the selection still needs a clear representation of the actual finish supplied. Label shared images and keep the variant-specific image where colour or texture drives the purchase. Obtain permission for the assets you intend to use. A scene photograph explains use; it should not be used to prove an exact fitment, colour or package count.

Which fields should block a catalogue import?

Block any row where identity, selected fitment, included contents or price basis is unresolved in a way that could cause the wrong item or promise. You can keep the row in an internal research tab while waiting for clarification. Missing optional marketing copy can be completed later; missing variant mapping or an unsupported compatibility claim should not be pushed into a live listing.
